Calendar Solution Documentation



Section 6: Task Module - The calendar module appears to hold all of the users in the solution, as well as the tasks associated to those users. In fact, the calendar doesn't hold any significant task information. The Task module holds all information about tasks and appointments. These events can be listed, searched, sorted, printed and deleted from the Task module.







Task Button Bar - As you've probably noticed, each module has its own unique button bar. Some elements are similar among all of the button bars, but there are distinct differences as well, to accommodate the unique features in each module. Following are the functions of the buttons in the Task module's button bar:

Find buttons - Click the magnifying glass, or the Find Records button, to locate a particular record. Find criteria may be entered into any data entry field on the Events screen. After find criteria has been entered, click the Find Records button again to perform the find. Click the All button to show all records in the Task module.

There are many advanced options for finding records, the extent of which will not be covered in this manual. For more on Find mode, see your FileMaker Pro documentation, or do a search at
www.filemaker.com. Searches in the Calendar Solution will generally be simple, and will likely not require advanced find options.

Important Note: A common mistake users make is to attempt to enter new records in a module while in Find mode. You can verify that you are not in Find mode by looking at the very edges of any screen in the Calendar Solution. If the edges are colored (for example, the edges of the Task module's screens are cyan), the user is in Browse/Edit mode. If the edges of the screen are gray or colorless, the user is in Find mode. Be careful to ensure that you are in Browse/Edit mode before entering new records.


Calendar Month View button - Clicking the Calendar Month View button navigates to the Calendar module and displays Month view for the current date.


Print button - Allows the user to print the information on the current screen.


Help button - Displays help for the current screen.





The Event List - Each event is listed in its own row on the Event List screen. Click the underlined column heading, (Date, Event, Category, Priority, Assigned to, and Done) to sort the list by that column. For example, clicking the Category heading will sort the current event list by category, in ascending order. Click the Category heading again to sort the list by category in descending order. To reiterate, clicking any column header sorts by that column, in ascending order. Clicking the same underlined column header again sorts by that column, in descending order.

To delete any task or appointment from the Event list screen, click the trash can button at the far right of the event list item. You will receive a confirmation dialog asking you if you're sure you want to delete the event.

The Event list is a great place to manage many tasks and appointments. Both kinds of events can be quickly and easily edited, sorted, printed, or deleted on this screen. Events may also be added in the event list, though it is safer to do so from the calendar, since event addition is more tightly controlled there. Take care when editing events in the event list, as there is the possibility of breaking associations to users and categories here.
